From your Advocacy Associates, Inc. Team, here are some guidelines to help you and your Advocate be most effective in representing your child.


Suggested Guidelines:       

  • Call your Advocate and inform them of any changes that occurred over the holiday break: New Medications, New Friends, or Behaviors, New Diagnoses/Relevant Health Changes or Updates.
  • Schedule a Meeting in our Office if you have any concerns about the above that should be discussed with your Advocate. 
  • Be sure your Advocate receives the trimester, quarter or semester grades/report cards from the last year.
  • When the new year begins observe your student’s program or ask your Advocate to observe; remember to 
  • help our office do the scheduling for this.
  • Contact our office to schedule any meetings.
  • Schedule a phone conference or a meeting with your Advocate before the school meeting to make sure communication and expectations are consistent.
  • Be sure that your Advocate has all current records, including work samples, teacher notes and medical updates.






  • ·          Ask for more time if needed
  • ·          Ask questions! Don’t feel embarrassed to ask for more clarification. You should be able to comfortably explain what happened at the IEP to someone who wasn’t there.
  • ·          Try to keep your emotions at home. If you feel yourself getting emotional, ask for a quick break. Remember, anger is an emotion!
  • ·          Know the names of the team members. Refer to them by their name to show you are paying attention and to make the meeting more personal.
  • ·          Refer to your child by name during the meeting.
  • ·          Make sure you understand who, what, where, when and why.
  • ·          Keep notes and refer to them if necessary.
  • ·          Be polite. Say thank you when appropriate. Manners can go a long way.

Here are some strategies to help IEP meetings be less stressful!  Active listening strategies can help.

Listening is not something that just happens, listening is an active process in which a conscious decision is made to listen to and understand the messages of the speaker.  Active listening helps people to feel understood and is a useful way to prevent misunderstandings. Active listening is a proactive way to manage emotional situations.

 Focus on the Speaker:  Avoid distractions by putting all your focus on the speaker. Leave your cell phone at home! No Texting!

 Become and Active ListenerActive listening is a communication technique that requires the listener to understand, interpret, and evaluate what he/she hears.  Convey interest using phrases such as:  I see…  Tell me more about…

 Ask for Clarification by Rephrasing   Ask your question by rephrasing the main point. The repetition gives you another chance to go over the point before the speaker clarifies.

 Use “I” statements rather than “you” statements: I statements state how you feel; “you” statements are critical or judgmental

 Keep an Open Mind:  Preconceived notions, bias and ego can prevent you from listening to the speaker's point of view.

 Clarify: Check for accuracy in your understanding, Use questions as : "I’m not sure I understand…Did I understand that correctly?"

 SummarizeAccurately capture the main idea in order to clarify.  “So your concern is…”
